Quad Web Ltd (“Quad Web”, “we”, “us”, “our”) operates the website quadweb.uk. This Privacy Policy explains what personal data we collect when you visit our website or get in touch with us, why we collect it, how we use it, and what rights you have over it.
We are a data controller for the purposes of UK GDPR and the Data Protection Act 2018.

1. What personal data we collect
We collect the following categories of personal data:
a) Information you give us directly
- Enquiry / audit request form: when you submit a contact form, request a free audit, or book a discovery call, we collect your name, email address, phone number (if provided), business/company name, and any details you include about your project or business.
- Free resource requests: when you request the GEO playbook or GEO audit download, we collect your name and email address so we can send the resource to you. We currently handle these requests manually (there is no automated email marketing tool in use), so your details are stored in our own systems (e.g. email inbox) until fulfilled and, if you agree to further contact, for as long as we’re in touch with you about our services.
- Correspondence: if you email or call us, we keep a record of that correspondence, including your contact details and the content of the message.
b) Information collected automatically
When you browse quadweb.uk, we automatically collect technical and usage data via cookies and similar technologies, including:
- IP address (used by our analytics tools; Google Analytics applies IP anonymisation)
- Browser type and version, device type, operating system
- Pages visited, time spent on pages, referring website/search terms, and click behaviour
- Approximate location (derived from IP address)
This is collected through the tools listed in the Cookies section below.
We do not collect payment details on this website. Project fees are invoiced separately, outside the site.
2. Cookies and tracking tools
We use the following tools on quadweb.uk:

Most of these tools are not strictly necessary for the site to function, so under UK PECR rules we ask for your consent before they run.
You can control cookies through your browser settings, and opt out of Google Analytics specifically using the Google Analytics Opt-out Browser Add-on.

4. Who we share your data with
We share limited data with the following third parties, solely to help us run the site and our business:
- Google (Analytics, Tag Manager, Search Console, Ads): processes analytics and advertising data. Google may process this data on servers outside the UK/EEA, including in the US, under its own privacy policy and standard contractual safeguards.
- Hotjar: processes session/heatmap data, potentially on servers outside the UK/EEA, under its own privacy policy and standard contractual safeguards.
- Professional advisers (e.g. accountant), where necessary for running our business.
- Law enforcement or regulators, if we’re required to by law.
We do not sell your personal data, and we do not share it with third parties for their own marketing purposes.
5. How long we keep your data
- Enquiry/audit form submissions: kept for as long as reasonably needed to respond and follow up (typically up to 24 months from last contact), then deleted unless you become a client, in which case data is retained per our client records/contractual obligations.
- Free resource requests: kept until the resource has been sent and for a reasonable follow-up period, or until you ask us to delete it.
- Analytics data (GA4): retained per Google Analytics’ default retention settings (currently up to 14 months), after which it is automatically deleted or aggregated.
- Hotjar recordings/heatmaps: retained per Hotjar’s default retention period before automatic deletion.
6. Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Erase your data (“right to be forgotten”)
- Restrict or object to processing
- Data portability (receive your data in a portable format)
- Withdraw consent at any time, where processing is based on consent (e.g. cookies, marketing follow-up)

If you’re unhappy with how we’ve handled your data, you can complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO), at ico.org.uk/make-a-complaint or by calling 0303 123 1113.
7. Children’s privacy
Quad Web’s website and services are intended for businesses and business owners, not children. We do not knowingly collect personal data from anyone under 18. If you believe a child has provided us with personal data, contact us and we’ll delete it.
8. Third-party links and embedded content
Our site links to and embeds content from third-party services, including LinkedIn, X (Twitter), Facebook, Google reviews, and Awwwards. If you click through to these, their own privacy policies apply. We’re not responsible for how they handle your data.
9. Data security
We take reasonable technical and organisational measures to protect your personal data (e.g. secure hosting, restricted access). However, no method of transmission over the internet is 100% secure, and we can’t guarantee absolute security.
10. Changes to this policy
We may update this policy from time to time, for example if we add a new tool to the site or our practices change. The “Last updated” date at the top will reflect the latest version. We encourage you to check back periodically.
